Dolphins Cruising Club – Communications
Introduction
Following the loss of the website, the Committee made the decision not to pursue the creation of a new interactive website. The new website is more of an information source about the Club rather than an exchange of messages.
The following is how communications between the Club and its members; and communications between Club members should now be conducted.
Please consider our GDPR Policy (found on the website) at all times when communicating with members.
Club Communications Procedure
1. Communications which involve all members of the Club on matters of Club business as a whole to be done through Emails (members who do not have email, should be contacted via post or if necessary; phone).
2. Messaging between individual members or groups of members (who have agreed to join such a group) on matters of an informal nature should be made using WhatsApp.
Protocols
Emails
- Documents which are necessary for the whole membership such as: Members details; Rally Programme; Club rules should be held by the appropriate Officer. E.g. Hon Sec; Vice Commodore, who would keep such documents up to date and would, when appropriate distribute them to the membership or respond individually to a member who requests a copy.
- Members should use emails to impart to other members items which are of importance or of interest to all members E.g. Notices of a navigational nature, upcoming social events, etc.
Should be used for non-club related items and on a casual basis. E.g. a member is out on the water and wants to know whether any other members are out and wanting to meet up. In this case the use of the agreed group broadcast would be appropriate.
- As a general rule it might be considered by the sender as to whether other members, who do not have the WhatsApp facility, should be informed by email.
- The sending member should consider whether they require a response from all members or just those who would be interested in the item (to avoid all members receiving unnecessary messages).
- Importantly, the receiving member should also consider whether they need to reply to the whole group or just the sender. (Again, to avoid other members receiving messages of which they have no interest).
